Getting Started with Best ROI CRM

Step-by-step guide

Welcome to Best ROI CRM. This tutorial walks you through everything you need to do during your first 15 minutes so your team can hit the ground running. By the end, you will have a fully configured account with your company details in place, your team members invited, and your sales pipeline ready to go.

Before You Begin

All you need to get started is a valid email address and a few minutes. Best ROI CRM runs entirely in your browser, so there is nothing to download or install. If you run a home service business with multiple team members, have their email addresses handy so you can invite them during setup.

Setting Up Your Account

Sign Up and Verify Your Email

Head to app.bestroicrm.com/signup and create your account using your business email address. Choose a strong password, then check your inbox for a verification email. Click the link in the email to confirm your address. If you do not see the email within a couple of minutes, check your spam or junk folder.

Once verified, you will be taken directly into the Best ROI CRM dashboard. The first thing you will see is a clean overview screen waiting for you to fill in your company details.

Pro Tip: Use a shared company email address (like info@ or admin@) as the account owner if you want to ensure the primary account is not tied to a single employee who might leave the company later.

Complete Your Company Profile

Navigate to Settings > Company from the sidebar. Fill in your company name, phone number, address, and any other relevant details. This information is used throughout the platform, including on automated emails and lead capture forms, so make sure it is accurate.

You can also upload your company logo here. A square image at least 256 pixels wide works best. Your logo will appear in the sidebar, on forms, and in customer-facing communications.

Invite Your Team Members

Go to Settings > Team Members and click Invite Member. Enter each team member's name and email address. They will receive an invitation email with a link to create their own password and log in.

You can invite as many team members as your plan allows. Each person gets their own login, so you can track individual activity, assign leads, and manage workloads across your crew.

Pro Tip: Invite your team members before you start adding leads. That way you can assign incoming leads to the right rep from day one instead of redistributing them later.

Set User Roles

Each team member can be assigned a role that controls what they can see and do inside the CRM. Best ROI CRM includes several built-in roles:

To change a user's role, go to Settings > Team Members, click on their name, and select the appropriate role from the dropdown.

Configuring Your Pipeline

Configure Lead Statuses and Sources

Before you start adding leads, set up the statuses and sources that match your business. Go to Settings > Lead Statuses to customize the stages a lead moves through, for example: New, Contacted, Quoted, Sold, and Lost.

Then visit Settings > Lead Sources to define where your leads come from, such as Website, Referral, Google Ads, Door Knock, or Home Show. Tracking sources helps you understand which marketing channels bring in the most business so you can invest accordingly.

You can add, rename, reorder, or deactivate statuses and sources at any time without losing historical data.

Explore the Dashboard

Click Dashboard in the sidebar to see your command center. The dashboard gives you a real-time overview of your pipeline: how many leads came in today, how many are in each status, upcoming appointments, and recent team activity.

Right now it will be mostly empty, and that is expected. As you add leads, log interactions, and close deals, the dashboard will populate with useful charts and metrics. Take a moment to familiarize yourself with the layout so you know where to look when things pick up.

Pro Tip: Bookmark your dashboard URL so you can jump straight to it each morning. Many contractors start their day by reviewing the dashboard to see which leads need follow-up and which appointments are on the schedule.
